Conference Professionals is committed to providing quality services to our clients and this policy outlines our ongoing obligations to you in respect of how we manage Personal Information collected from or on behalf of them.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect includes names, addresses, email addresses, phone, and facsimile numbers.

We collect, store, process and transact data relating to the customers – members, non-members, delegates, sponsors, other stakeholders - of our clients. We do not guarantee the security of our clients’ websites or other third-party applications used to deliver services to our clients and their customers.

We collect Personal Information for the purpose of providing services to our clients, providing information to our clients and marketing on behalf of our clients. Clients and potential clients may unsubscribe from our mailing/marketing lists at any time by contacting us in writing, and customers of clients may also unsubscribe at any time by contacting them directly in writing.

Individuals in their own right or as individuals who have authority to sign for their organisation should give informed consent when they provide their personal data; that includes the right to know how their own data will be used by Conference Professionals our behalf of our clients.

We work with our clients to ensure they collect only the minimum amount of personal data required to provide a service to their customers. When Personal Information is collected, we will, where appropriate and where possible, work with our clients to explain why the information is being collected and how it is planned to be used.

 

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record, or health information.

Sensitive information will be collected and used by Conference Professionals on behalf of our clients only:

•          For the primary purpose for which it was obtained

•          For a secondary purpose that is related to the primary purpose

•          With your consent; or where required or authorised by law.

 

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

 

Disclosure of Personal Information

The Personal Information provided by customers to our clients may be disclosed in a number of circumstances including the following:

•               De-identified data forwarded to statutory authorities to advance the purposes of the client, such as workforce sustainability

•               Third parties where you consent to the use or disclosure; and

•               Where required or authorised by law.

Neither Conference Professionals nor our clients sell any personal details to third parties for promotional or other commercial purposes.

Security of Personal Information

The Personal Information of our clients and their customers is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification, or disclosure. All IT equipment and systems utilised meet expected business standards in relation to security and audits, and all staff accessing the information are required to maintain the knowledge and demonstrate appropriate diligence in applying relevant policies. A data protection officer oversees   the application of this policy.

When Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify it. However, most of the Personal Information is or will be stored in client files which will be kept for a minimum of 7 years. Should we receive a written request before permanent deletion from records, we will do so.

 

Access to your Personal Information

Customers of clients may access the Personal Information held and update and/or correct it, subject to certain exceptions. This is available through our clients’ websites.

To protect your Personal Information, we may require identification before releasing the requested information.

 

Maintaining the Quality of your Personal Information

It is important to Conference Professionals and our clients that Personal Information is up to date. We will take reasonable steps to make sure that Personal Information is accurate, complete, and up to date.
